Appointment Demographic Report

The Appointment Demographic Report provides a detailed view of appointments within a selected date range. It can be used to review past or upcoming appointments and analyze trends based on different filters.

To generate the report, enter a begin date and end date, then click Generate. The report can be run with or without filters.

Notes
You may select one or multiple filters to narrow down the results.

Filter Options:

Appointment Status - Booked, Complete, Canceled, No-Show, Conflicting, Checked In, Called, Confirmed, or Reminder Sent

All Services - Filter by service groups or individual services. Each service group will appear with the services listed beneath it, allowing you to select an entire group or specific services within that group.

All Workers - Displays a list of all active workers and allows the report to be filtered by one or more workers.

All Appointment Types - These are Inspire internal appointment types and includes; New Client, Booked Online, Rebooked, and Standing Appointment.

All Visit Types - These are custom visit types created within your system and selected when creating an appointment/ticket. For more information, see Setup Client Preferences.

AlertBelow each filter section, totals will display whether filters are selected or not. These totals include both quantity counts and percentages. Percentages represent the total value relative to the overall results for that filter category.



Report Columns Represents :

Date - Displays the date and time of the appointment.

Status - Shows the appointment status included in the report.

Client Name - Displays the client’s first and last name.

Service Worker - Shows the service or services booked for the appointment. The worker assigned to perform each service will appear in parentheses.

Appointment Type - Indicates the Inspire appointment type such as New Client, Booked Online, Rebooked, or Standing Appointment.

Visit Type - Displays the custom visit type selected when the appointment was created. If no visit type was selected, this field will appear blank.

Service Totals - Shows the total value of services included in that appointment.

Product Count / Totals - Displays the quantity of products purchased and the total value of those products associated with that appointment.

Ticket Total - The total value of the ticket, combining both service totals and product totals.


The report can be sorted by:
Date, Appointment Status, Client Name, Ticket Total, Product Count, or Product Amount. Most columns sort in
descending order, while Client Name and Appointment Status sort alphabetically


Alert
At the bottom of the generated report, summary totals will display based on the selected date range and any filters applied.

Summary Totals Include:

  • Service Totals – The total value of all services included in the report results.

  • Product Count / Totals – The total quantity of products sold and the total value of those products.

  • Ticket Totals – The combined total value of all tickets (services and products).

The report will also display averages for the results shown:

  • Average Service Totals – The average service value per appointment included in the report.

  • Average Product Count / Totals – The average quantity and value of products per appointment.

  • Average Ticket Totals – The average total ticket value per appointment.

All totals and averages are calculated based on the date range and filters selected when generating the report



The report can be 
exported or printed for additional review.
