How do Client Booking Alerts & Restrictions work?

BOOKING ALERTS AND RESTRICTIONS

Business can enable alerts within the Client Card to either simply draw attention to client special needs using the Alert Only setting or completely shut down booking for a client with the Do Not Book setting.  The Alert Only setting will still allow the client to Online Book, and an email notification can be enabled to alert the staff of the booking.  If the Do Not Book setting is enabled, the client will not be able to book an appointment via a worker or Online Booking.  Check out more details below on how to use the Booking Alerts & Restrictions.

Booking Alerts are not pubic to a client. they are only viewed by the worker. 

ENABLE A BOOKING 'ALERT ONLY' 

If you would like to set an alert for a client that appears to the worker booking and would still allow the client to book:
  1. Click on Clients, then search and select the Client
  2. Go to the Appointments Tab
  3. Under Booking Restrictions, select "ALERT ONLY" 
  4. Select a checkbox next to a commonly used booking alert reason and/or click on "Write Note" for custom notes on the alert.
  5. Click Save
The Booking Alert Information will appear when a worker selects a client using the Express Booking, Find Appointment, Standing Appointment and Waiting List features. 


SEND EMAIL NOTIFICATIONS TO BUSINESS FOR BOOKING ALERT ONLY CLIENTS

If the business would like to receive an email when a client who has a booking ALERT ONLY setup is booked:
  1. Go to Setup > Setup Appointments & Emails > Online Booking
  2. Click the checkbox next to "Send Notifications for clients booked online with booking alerts"
  3. Enter an email to send the email notification to
  4. Click Save
When enabled, an email will be sent when the client books online with information regarding the appointment, client and the booking alert details. 

ENABLE A 'DO NOT BOOK' ALERT

If you would like to set a Do Not Book alert for a client that appears to the worker booking and would not allow the client to be booked by a worker or via online booking link or the Welcome App: 
  1. Click on Clients, then search and select the Client
  2. Go to the Appointments Tab
  3. Under Booking Restrictions, select "DO NOT BOOK" 
  4. Select a checkbox next to a commonly used booking alert reason and/or click on Write Note for custom notes on the alert.
  5. Click Save
The Do Not Book Alert Information will appear when a worker selects a client using the Express Booking, Find Appointment, Standing Appointment and Waiting List features. 

SETTING A DO NOT BOOK MESSAGE FOR ONLINE BOOKING

When the DO NOT BOOK setting is enabled, clients will not be able to book appointments online.  If you would like a unique message to display when a client attempts to book online, follow these simple steps:
  1. Go to Setup > Setup Appointments & Details > Online Booking Tab
  2. Enter the message in the BOOKING RESTRICTIONS: DO NOT BOOK message field
  3. Click Save

DISABLE A BOOKING ALERT

  1. Click on Clients, then search and select the Client
  2. Go to the Appointments Tab
  3. Under Booking Restrictions, select "NONE" 
  4. Select a checkbox next to a commonly used booking alert reason and/or click on Write Note for custom notes on the alert.
  5. Click Save
