Setup Worker Details

The Setup Worker Details page is where you will identify the worker name, hours, services, permission sets, compensation preferences, etc. 

Worker Profile 

To add or edit a new worker, follow these steps:
  1. Go to the Navigation Menu, then Setup, then Setup Worker Details
  2. Click + New to add a new worker or select an existing worker to edit
  3. Enter a Start Date
  4. Enter a First, Middle (optional) and Last Name
  5. Enter an Email Address
  6. Enter a Username
    1. Pro Tip: The username is traditionally the email unless the worker is at multiple locations 
  7. Enter a Password, then Retype Password

Worker Detail Preferences

  1. Send Email for Booked Appointment - Anytime an appointment is booked, an email will be sent to the worker. 
  2. Send Email for Canceled Appointment - Anytime an appointment is canceled, an email will be sent to the worker.
  3. View Only My Appointment - When enabled, only the worker will only be able to see their own appointment calendar from the browser or worker app. 
  4. View Only My Goals - When enabled, only the worker will only be able to see their own goal results from the browser or worker app. 
  5. Hide Client Contact Info - When enabled, the worker will only be able to see client's first names and last initials.  The last name, address, phone and email will be hidden.
  6. Hide Appointment Book Values - When enabled, the worker will not be able to see the amount of transactions, percent of rebook, total number of appointments, etc. on the Appointment page.
  7. Allow Retail Sales - When enabled, the worker can be credited for product sales in Checkout.  
  8. Display Order - If workers should appear on the calendar in a specific order, enter a numerical value to identify the order they should appear in. 
  9. Time Clock PIN - Traditionally a 4 digit PIN for the worker to enter to clock in and clock out.
  10. Hourly Wage - Enter a dollar amount that will be used when Hourly Wage is the value in a Compensation Method.
  11. Salary - Enter a dollar amount that will be used when Salary is the value in a Compensation Method.
  12. Security Permission - Select the permission set to assign to the worker. 
  13. Primary Compensation Method - Select the Compensation Method to assign to the worker. 
  14. Secondary Compensation Method - Select the Compensation Method to assign to the worker as a Secondary Compensation Method. The Secondary Compensation Method is traditionally used when a worker is paid a service commission bi-weekly but a product commission quarterly. 
  15. Worker Photo - Upload a Photo of the worker to appear at the top of their Appointment Column and on the Goals & Dashboard pages.

Online Profile

  1. Display Worker Profile Online - Enabling this checkbox will add the worker to the Meet the Team page in Online Booking 
  2. Worker is Accepting New Clients - Enabling the checkbox will add a Accepting New Clients flag to the worker's profile on Meet the Team. If disabled, clients with no service history will not be able to book an appointment with this worker.
  3. About Me field -  Details entered here will display under the About Us header on the About Us page. 
  4. Enter Facebook URL - When this field is populated, a Facebook icon will appear on the worker's profile and when clicked will open the linked Facebook page in a new tab. 
  5. Enter Instagram URL - When this field is populated, an Instagram icon will appear on the worker's profile and when clicked will open the linked Instagram page in a new tab. 
  6. Enter Favorite Product Name - When this field is populated, the name of the product will display under the Favorite Product header on the worker's profile. 
  7. Enter Favorite Product URL: When this field is populated, the Favorite Product Name will hyperlink and when clicked, the Favorite Product URL will open in a new tab. This would be a great way to introduce clients to an e-commerce site like SalonInteractive, Shopify or Amazon Storefront. 
  8. Share Worker URL with Worker: After a worker is created, a link will appear at the bottom of the Online Profile tab. This is a direct link to their online profile. This would be a great link for the worker to add to their Instagram or Facebook profile. 

Hours

  1. Worker Scheduled Hours - Enter the open time and a close time formatted in 12:30 PM or if the worker does not work on a day, leave the open and close fields blank. These hours will appear as available on the Appointment Book. 
  2. Online Availability Hours - Enter the open time and a close time formatted in 12:30 PM or if the worker does not work on a day, leave the open and close fields blank. If the hours are the same as the Worker Schedule Hours, click the Same Hours checkbox. These hours will be selectable from the online booking experience.
    1. Pro Tip: The Online Hours vary from the scheduled hours to give the worker & business more control over how the availability the client can see through the online booking experience. For example, businesses may not allow clients to book the first or last hour of the day or on Saturdays themselves. Enter a note for reference in the list of Custom Hours. 
  3. Add Custom Hours - Click Add Custom Hours to identify days off for the worker, alternate hours or adjusted hours.
    1. Day(s) Off will schedule the individual worker off for the date range entered. Click the Repeat Weekly option to schedule the worker off every other week or every third week. 
    2. Custom Hours will show adjusted availability from the traditional hours. Click the Repeat Weekly option to schedule the availability every other week or every third week. Enter a note for reference in the list of Custom Hours. 

Services

  1. Accepting New Clients Online
    1. If enabled, new clients will be able to book with this worker. 
    2. If disabled, online booking will not display the worker as an option to schedule a service if they did not have a completed service previously with any worker. 
  2. Appointment Services Book Every - Select a duration for the workers appointments to be scheduled.  This preference will relate to when a worker uses the Find Appointment page or the client uses the Online Booking page to offer availabilities.
  3. Select Level - Select a level 1 thru 10 to identify the Service Level closely associated to the worker's pricing and duration. Click Apply Level to update.
  4. Select Services
    1. Use the arrow to show or hide a list of the Services in each Service Group
    2. Performs Checkbox enabled notes that the worker offers this service. 
    3. Online Checkbox enabled notes that the worker offers this service online.
    4. To customize the price, duration or service fee, click the pencil to the right of the service.

Other

Note: The Other Tab is all for record keeping purposes only.  No settings on this page are required or will appear in the software.

  5. Worker Notes
  6. Multi-Location User - this setting requires additional setup by Inspire by STX Development.  To enable a multi-location user, please contact STX Support at 1-800-766-4778.
  7. Emergency Contact Name & Phone Number
  8. Click Save once completed.
