Setup Worker Permissions Glossary


SETUP WORKER PERMISSIONS GENERAL 

Businesses can create permission sets to allow or disable access to features within the software.  Create a permission set and assign it to multiple workers or one worker. 

To create a permission set: Go to Setup > Setup Workers > Setup Permissions and click Add New.
To edit a permission set: Go to Setup > Setup Workers > Setup Permissions and click the permission set to edit. 

Enabled Checkbox: the worker with this permission set will have access to that feature. 
Disabled Checkbox: the worker with this permission set will not have access to that feature.

The following permission-like settings are available in Setup Worker > Worker Details > Other Tab:
  1. View Only My Appointments
  2. View Only My Goals
  3. Hide Client Contact Information
  4. Hide Appointment Book Values

Permission details are noted below by Category:
HOME

Login - Browser - Enable this to allow the worker to login to the stxcloud.com website. If needed, add a specific IP address to only allow the worker to login from that IP address. 

Login - Worker App - Enable this to allow the worker to login to the iOS or Android Worker App. If needed, add a specific IP address to only allow the worker to login from that IP address. 

Client Export - Allow access to export lists of clients for all workers.

Finova Lending Pop Up - Show Finova pop ups in Purchase Orders, Payroll Reporting and Setup Resources. 

Gift Balance Search - Access to searching for gift card balances located in the Navigation Menu. 

Member Check In - Access to the Membership Check In and Membership Sales page. 

Setup List - Access to the Setup area as a whole. 

Time Clock - Access to Time Clock to clock in and clock out. If needed, add a specific IP address to only allow the worker to clock in or out from that IP address. 

Time Clock Adjustment - Ability to add, remove or edit hours worked in Time Clock. 

Time Clock Apply Schedule - Ability to use the "Apply Schedule" checkbox to assume the hours scheduled were the hours worked. 

Tippy Toast Message - When enabled, a message to suggest using Tippy for direct to worker tipping will appear on the Tip Summary, Tip Detail and Process Compensation pages. 


SETUP COMPANY


Company Days Off - Add, edit or delete days off for the entire company. 

Company Info - Setup Company Information such as Company Name, Address, Phone, Email, Logo, etc. 

Setup Booking Preferences - Appointment book settings such as Company Duration, ability to skip Client Name and Find Appointment result preferences. 

Setup Company - General access to Company Days Off, Company Info and Setup Payment Types.  
*Required if any of the other Setup Company areas are enabled. 

Setup Payment Types - Access to create, edit or deactivate Payment Types. 

SETUP OTHER


Setup Client Forms - Create, edit or deactivate the Client Form Questions and Client Form Checkboxes.

Setup Client Card Preferences - Manage mandatory client fields, but also create, edit or deactivate the Visit Types, Client Flags, Occupations.

Setup Favorites - Access to customize the Favorites tab located on the Checkout page.

Setup Gifts - Access to enable and customize the Gift template for online and in-store gift templates. 

Setup Notifications & Reminders - Access to enable and customize the Notifications, Reminders & Confirmations Page. 

Setup Online Booking - Access to enable and customize the Online Booking Page. 

Setup Appointments & Emails - Access to the Setup Appointments & Email area which controls the booking intervals, online booking settings, reminders, notifications and online gifts. 

Setup Client Preferences - Access to the Setup Client Preferences area which controls the Visit Types, Client Consultation Form, Occupations, Client Flags, etc.

Setup POS & POS Devices - Access to setup credit card processing, receipt preferences, add cash drawers, etc. 

Setup Promotions - Access to setup discount promotions for services or products. 

Setup Rewards - Access to setup Reward points for earning and redeeming. 

SETUP SERVICE


Setup Classes - Create or edit the classes, class name, duration, etc. 

Setup Resources - Create or edit the resources associated with services.

Setup Service - General Access to Setup Services. 
*Required if any of the other Setup Service areas are enabled. 

Setup Service Details - Create or edit the services, durations, online name, deposit required, etc. 

Setup Service Groups - Create or edit Service Groups used to categorize services together for reporting and scheduling purposes. 

Setup Package - Create or edit Packages where the client can purchase multiple services at a reduced cost.

Setup Memberships - Access to create, edit or deactivate the Memberships offered.

SETUP INVENTORY

SalonInteractive - This permission is currently disabled, there are great features comings soon!

Setup Inventory - General access to Setup Inventory. 
*Required if any of the other Setup Inventory areas are enabled. 

Setup Inventory Groups - Create or edit the Inventory Groups used to categorize inventory by the type of product for reporting purposes. 

Setup Product Lines - Create or edit the Product Lines to categorize inventory by the associated product line for reporting purposes. 

Setup Products - Create or edit products, product name, SKU, stock number, price, standard cost, on hand quantity, minimum quantity, associated supplier, product line or inventory group, etc. 

Setup Suppliers - Create or edit the suppliers that the products are ordered through using Purchase Orders.

SETUP WORKERS


Create Worker - Ability to create new workers. 

Setup Goals - Create or edit the goals for all workers. 

Setup Compensation Methods - Create or edit compensation methods for processing compensation (payroll). 

Setup Compensation Scales - Create or edit the compensation scales to be assigned in Setup Compensation Methods. 

Setup Dashboard - Enable which metrics to display for each worker in for the Dashboard. 

Setup Goals Virtual Coaching - Edit the virtual coaching message that appears in Goals when the goal is clicked. 

Setup Permissions - Create or edit permission sets that determine the workers access within the software. 

Setup Worker - General access to Setup Worker.
*Required if any of the other Setup Service areas are enabled. 

Worker Details - Ability to edit the worker names, passwords, emails, permissions, access, hours, services, etc. 

CLIENTS


Class History - Access to the Class History tab on the Client Card to see details about classes the client completed. 

Client Account - Access to the Accounts Tab on the Client Card to see details about the client's reward points, remaining prepaid packages, account balance, membership status, etc.

Client Appointment Preferences - Access to the Appointments tab on the Client Card to note booking alerts, allow online booking, assign an online PIN, view past and future appointments and send a list of future appointments. 

Client Edit - Ability to save changes to editing the client card. 

Client Form - Ability to access the Client Form from the Client Card.

Client Info - Access to the Client Info tab on the Client Card including the client name, phone, email, address, emergency contact, responsible party, etc. 

Client Profile - Access to the Client Profile tab on the Client Card that includes information like the gender, client flag(s), occupation, birthdate, referrals, contact preferences, etc.

Client Search - Ability to search for a client in the Clients module. 

Consultation Tab - Access to the Consultation Form tab on the Client Card.

Create Token - Ability to add a token on file (credit card on file) on the Accounts Tab. 
** Client Account permission required for access. 

eTraveler - Access to viewing the eTraveler located on the Appointment Detail page, displays read only information such as Service History, Service Notes, Product History, Referred By, Referrals, Birthdate, Reward Points, Occupation, Client Flags, etc. 

Merge Client - Ability to merge two client cards into a single client card. 

Photo Gallery - Ability to access the Photo Gallery tab on the client card.

Product History - Access to the Product History tab on the Client Card that includes all purchased product details. 

Service History - Access to the Service History tab on the Client Card that includes all completed service details including pricing and service notes. 

APPOINTMENTS 


Appointment Check Out - The ability to check out an appointment from Appointment Detail or the Appointment List.

Appointment Detail - Access to the appointment details including the services booked, update appointment status, create appointment and service notes, view other service associated, see upcoming appointments, etc. 

Appointment List - View a list of the appointments for the date or date range selected, with the option to Check In or Check Out a client. 

Book Class - Ability to schedule a class on the Appointment Book for all workers. 

Book Out Time - Ability to create a Book Out Time that blocks time off on the calendar.  Traditionally used for leaving early, arriving late, daily lunches, meetings, etc. 

Book Out Time Detail - Ability to view the details associated with a Book Out Time. 

Book Standing Appointment - Ability to create and search for a standing appointment. 

Check In - Check in an apppointment to note the client has arrived for their services.

Check In Kiosk - Access to the Check In Kiosk where clients can check themselves in or register as a walk in client. 

Class Detail - Ability to view the detail associated with a class scheduled and add a client to the class list. 

Drag and Drop Appointments - Ability to click and drag an appointment to a different time or worker on the calendar. 

Express Booking - Ability to click on the appointment book and quickly add an appointment. 

Find Appointment - Ability to use the Find Appointment feature to search and book available appointment times. 

Modify Appointment - Ability to modify the appointment date, time, assigned worker and durations associated with services on an appointment. 

Waiting List - Access to the list of clients waiting for an appointment for all workers. 

INVENTORY


Inventory Menu - General access to Inventory.
*Required if any of the other Inventory areas are enabled. 

Inventory Usage - Ability to log when an inventory item was used for the business or worker, subtracts from the product on hand quantity. 

Manage Inventory - Ability to edit product details such as name, price, sku, size, quantity on hand, etc. from a mass listing. 

Physical Checklist - Ability to log the current on hand quantity for all products. 

Purchase Orders - Create, edit and receive purchase orders.  

Send Purchase Order to SalonInteractive - This permission is currently disabled, there are great features comings soon!

TICKETS 

Apply Rewards - Allow user to apply reward points for use to a ticket.

Apply Promotions - Allow user to add a discount to a ticket using the designated current promotions. 

Cash Paid In - Cash Paid Out - Ability to log cash paid in and cash paid out to the Cash Drawer. 

Check Out - Access to check out to create tickets, add items to a ticket and apply payment. 

Client Name Change - Ability to change the client name within Checkout.

Completed Ticket Detail View - Access to view the receipt details on the Completed Ticket Page. 

Completed Ticket - Email Receipt -  Ability to email a completed ticket receipt. 

Delete Cash Paid In / Out - Ability to delete Cash Paid In or Cash Paid Out 

Edit Product Price - Allows the user to change the price of the product in Checkout. 

Edit Service Price - Allows the user to change the price of the service. 

Membership Edit - Ability to edit the next bill date, deactivate or activate memberships from the Client Card > Accounts tab. 

Refund Details - Ability to perform a refund. 

Reopen Cash Drawer - Ability to reopen a closed cash drawer. 

Reopen Ticket - Allows a user to reopen a ticket to add or remove items, update workers, promotions, prices, etc.

Report Cash Counting - Access to Cash Counting to assign, count, open or close the cash drawer. 

Ticket Edit - Ability to make edits to a completed ticket such as the payment type or worker assigned to a product or service sale. 

Void Ticket - Ability to permanently delete a ticket. 

REPORTS

Report Date Limitation - Select how far in the future or past (report dependent) a worker can select dates to generate in all reports.

Warning
Note: Selecting Today Only or 7 Days will not allow the user to generate the Monthly generated reports. 

TRANSACTION REPORTS

Daily Cash Drawer - Reporting on the payments received for the day by Cash Drawer & Shift. 

Payment List Report - A list of payments, change back and payment totals. 

Price Adjustment Report - A list of services or products where the amount was adjusted on the ticket. 

Promotion Report - A report on the promotions used on tickets for a date range. 

Refund Report - A list of refunds performed over a date range. 

Ticket Details - A list of checked in and completed tickets over a date range with total amounts. Additionally includes details on Cash Paid In & Cash Paid Out. 

Total Sheet - A summary of totals for a date range includes all worker sales, company sales, adjustments, account balances, payments, tips, etc. 

Voided Ticket Report - A list of tickets that were voided. 

SALES REPORTS

Itemized Sales Report - A list of items sold or refunds performed by a date range, includes totals at the bottom. 

Memberships Report - A report of all the current active or inactive memberships. 

Product Sales Chart - A pie chart displaying the distribution and totals for product sales by product line. 

Product Sales Report - A report displaying all product sales for all workers for a date range. 

Service Sales Report - A report displaying all service sales for all workers for a date range. 

Tax Summary Report - A report on the Taxable, Non-Taxable services and products with total summaries by worker. 

Ticket Sales Chart - A bar graph chart providing total sales for each day last month. 

Ticket Sales Report - A report showing each ticket completed for a date range. 

APPOINTMENT & CLIENT REPORTS 

Account Balances - A list of current client account balances. 

Appointments Report - A list of the appointments for a date and worker including client service and product purchase history. 

Canceled Appointments Report - A list of appointments that were canceled between a date range that also notes any future services and the ability to schedule another service. 

Client Retention Report - A report that will display all clients who visited with all workers between a date range and filter if they are new or recurring. The report will note if they returned within a date range. 

Packages Report - A report that generates packages sold between a date range and displays the remaining packages available along with their remaining value totaled at the bottom. 

Rebook Report - A report that will display all clients who visited between a date range for all workers and whether or not they booked a future service. 

Referral Report - A list of clients and the clients they referred within a date range. 

Reward Report - A report on Rewards redeemed, used and their total current reward point value with the client names associated with the visit. 

Standing Appointment Report - A report that displays clients who have a standing appointment ending between the date range generated. 

Ticket Rating Report - A report with a list of the tickets, client name and the total / percent of ticket ratings assigned on the ticket. 

Top Client Report - A list of the top 50 clients based on service sales, retail sales or service and retail sales. 

BUSINESS ANALYSIS REPORTS 

ABC Report - A report with company and worker sales, visit types and averages. 

Appointment Demographic Report - A report to list all the appointments scheduled for a date range in the past or future, then drill down by status, worker, service, visit type, etc.

Employee Analysis Report - A report that shows all workers services, retail, guest counts, rebooked percentages, etc. 

Forecasting Report - A report that predicts a future months revenue based on the booked services plus the average over the last 3 months. 

Impact Zones Report - A report on the guest counts, product sales, frequency of visits and service sales. 

Monthly Business Analysis - A report that totals the company sales, worker sales, productivity, rebooking, etc. 

Sales Analysis Report - A report breaking down the Service Sales by Group, Product Sales by Product Line by company or worker with additional details on the visits and total amounts for types of visits. 

TBP Report - A report including the service sales, product sales, total sales, averages, rebooking, etc. for the company and all workers. 

Ticket Analysis Report - A report that provides details on the types of tickets that were completed with their totals and counts. 

Visit Type Overview - A report that provides insight to the types of visits and includes ticket totals. 

INVENTORY & GIFT REPORTS

Gift List Report - A list of gifts sold between a date range with the original balance, current balance and totals. 

Inventory Adjustments - Access to the Inventory Adjustments report to show anytime an on hand number was updated manually by a worker and not using the Purchase Order or Checkout area. 

Inventory Adjustments Delete - Ability to delete the Inventory Adjustment logs. 

Inventory Adjustments View - Ability to view the details of the Inventory Adjustment Logs. 

Inventory Usage Report - A report on the inventory used during a date range, entered in Inventory Usage.  Allows access to delete the inventory usage. 

On Hand Product Report - A report that displays the current on hand quantity and value of product currently on hand. 

Product Sales by Rank - A report that will display products sold between a date range with sales totals, ROI%, Cost of Goods, etc. 

COMPENSATION REPORTS 

Process Compensation - Access to all workers payroll reporting with service sales, product sales, tips, hours, etc. 

Process Compensation Detail - Ability to view details to break down the Process Compensation report, includes services sales, product sales, tips, hours, etc. 

Time Clock Report - A report that displays time clock entries for all workers. 

Tip Detail Report - A report that details every tip transaction for all workers. 

Tip Summary Report - A report that summarizes tip totals for all workers. 

SETUP REPORTS

Product List Report - A list of all the products. 

Worker Schedule Report - A report that generates the workers schedules for a date range the past or future. 

Worker Service Report - A list of all the services associated with a worker. 

DASHBOARD & GOALS

Dashboard - Company - Ability to see the Company Dashboard and all Worker Dashboards.

Dashboard - Worker Only - Ability to see the Worker Dashboard for only the worker logged in. 

Goals - Access to Goals where the % of goals achieved are displayed for each worker. 

Schedule Yearly Dashboard - Access to schedule the dashboard includes all metrics. 

SCHEDULED REPORTS

Create & View Scheduled Reports - Allows access to schedule reports and view the list of reports that were scheduled and download their results. 

MARKETING

Marketing Email - Ability to access the Email Marketing suite to create and send email marketings.  Also includes access to marketing reports. 

Review Management - Access to the Review Management page to publish reviews, make notes and view all reviews. 

Textel - Access to sign up for Textel 3rd Party Texting and send Filtered lists of Clients.
