How to Set Up a Multi-Location Worker

If a worker needs access to more than one business location in Inspire, the Multi-Location User setting must be enabled for that worker.

AlertImportant: These steps must be completed at each location for each worker you want to set up for multi-location access.

Location A – Set Up the Worker

  1. Log in to Location A.
  2. Go to Setup.
  3. Select Setup Worker Details.
  4. Select the worker you want to set up for multi-location access.
    • If the worker does not already exist at this location, create a new worker.
  5. Complete all required information under the Profile tab.

Be sure to include:

  • The worker's required profile information
  • A Username
  • A Security Permission

⚠️ Important Username Requirement

The username assigned to the worker must be different at each location.

For example:

  • Location A Username: JaneSmithA@example.com
  • Location B Username: JaneSmithB@example.com


Warning
Note: You can not use the same username at multiple locations.

Once the worker is successfully connected as a multi-location user, they will not need to remember multiple usernames and passwords. They can use one of their assigned usernames and its password to sign in and access the locations connected to their multi-location profile.

Important Security Permission Note

The Security Permission assigned to the worker is specific to each location.

When the worker toggles to a different location, they will have the permissions that were assigned to them within that specific location.

For example, if the worker has Manager permissions at Location A but Employee permissions at Location B, their access will change based on which location they are currently toggled into.

Because of this, be sure to review and assign the appropriate Security Permission at each location during setup.

Complete the Worker's Setup

Before enabling Multi-Location User, review and complete the worker's information in the following tabs:

  1. Profile
  2. Online Profile
  3. Hours
  4. Service

Make sure the worker has the appropriate information, hours, and services assigned for each location.

Enable Multi-Location User

  1. Select the Other tab within the worker's setup.
  2. Locate Multi-Location User.
  3. Enable the Multi-Location User toggle.
  4. Under the Multi-Location User setting, select the other location where this worker should also have access.
  5. Save your changes.


Repeat the Setup at each location.

Next, log in to Location B and repeat the same setup process for the worker.

Remember:

  • The worker must be set up at each location.
  • Each location must have a unique username for the worker.
  • The worker's Security Permission is location-specific and should be assigned appropriately at each location.
  • Complete the worker's Profile, Online Profile, Hours, and Service information based on what they should have available at that specific location.
  • Enable Multi-Location User under the Other tab.
  • Select the additional location(s) the worker should be connected to.

NotesKey Reminder: A worker's permissions, hours, services, and other location-specific settings should be reviewed at each individual location to make sure they have the correct access and setup when toggling between locations.
