How do I terminate, deactivate or pause a worker?

INSTANT TERMINATION (within 5 minutes)

This selection would be most popular in a situation where there is little to no notice of termination and needs immediate action.  
  1. Click the Menu Icon (≡), click Setup > Setup Workers > Worker Detail
  2. Click Terminate Worker
  3. A pop up will appear describing the actions
  4. Click Terminate & Save
Warning
Within 5 minutes the worker will be logged out of their active sessions.

Note: If a worker is deactivated, any existing appointments or book-out time previously scheduled with that worker will still appear on the calendar. This ensures that no appointments are missed and gives your team the opportunity to move them to another available worker.
While these appointments remain, the worker’s column will appear greyed out and will be unavailable for new scheduling or online booking. The column will remain greyed out until all appointments and book-out time have been moved or removed from that worker.

Notes
Appointments assigned to a terminated worker will not appear on the Appointment Screen if the Appointment View filter is set to All Workers or if specific workers are selected. To view these appointments, ensure the Appointment View filter has no workers selected.

If payroll has already been ran and included this worker, set both the Primary and Secondary Compensation Methods to None. This will remove the worker from your compensation reporting going forward.


TERMINATING A WORKER FOR THE FUTURE

This selection would be most popular when a worker has provided notice that they will be leaving but should still have access and availability until the termination date. 
  1. Click the Menu Icon (≡), click Setup > Setup Workers > Worker Detail
  2. Select the Worker
  3. Enter the date into the Termination Date
  4. Click Save 
Once the Termination Date is saved, the following action will occur:
  1. The worker will not be available for booking on or after a future Termination Date.
  2. The worker will be marked inactive on the termination date, this will disable their login.
  3. The worker will be disabled for Allow Retail Sales.

Consider creating a new permission set that limits a soon-to-be terminated worker's access to client information, setup, reports or modifying appointments.

PAUSE AVAILABILITY 

This selection would be most popular for a worker taking an extended leave that does not need to have limited access.
  1. Click the Menu Icon (≡), click Setup > Setup Workers > Worker Detail
  2. Select the Worker
  3. Select Hours Tab
  4. Click Custom Hours
  5. Enter the leave Date Range
  6. Click Save

To enable limited access for a worker taking an extended leave, simply update the Permission in Setup > Setup Worker > Setup Worker Details > Switch Security Permission assigned from currently assigned permission to None or a specifically limited permission set

UNDO TERMINATION

Performing these steps will undo a termination: 
  1. Click the Menu Icon (≡), click Setup > Setup Workers > Worker Detail
  2. Select the Worker
  3. Check the Active checkbox on the Profile tab
  4. Remove the Termination Date on the Profile tab
  5. Click Save 
  6. Allow up to 10 minutes for the worker to be re-activated

If you would like this worker to be included in your compensation reporting again, be sure to assign the appropriate Compensation Method to the worker.

If you would like to allow the worker to have access to the system again, simply update the Permission in Setup > Setup Worker > Setup Worker Details > Switch Security Permission assigned from None or assigned limited permission to desired permission set
