Appointment reminders are automatically sent to clients based on the reminder settings configured in Setup > Setup Notifications & Reminders > Reminders.
Clients will receive a text message and/or email based on their notification preferences in Client Card > Client Profile.
Appointments with the following statuses will trigger automatic reminders:
● Booked● Called● Confirmed● Reminder Sent● No Show● Conflicting
The following appointment statuses will not trigger automatic reminders:
● Checked In● Complete● Pending Deposit
Inspire will automatically send one reminder text and one reminder email based on your reminder settings and the client's notification preferences.
You can also manually send additional reminders from the Appointment Detail Card as needed. There is no limit to the number of manual reminders you can send.
Important Note: Appointments Booked Within the Reminder WindowAutomatic reminders are only sent when the appointment is booked before the scheduled reminder time. If an appointment is booked in-house or through Online Booking within the timeframe in which the reminder is scheduled to send, an automatic reminder will not be sent.
Example: If your automatic reminders are set to send 24 hours before an appointment, and a client books an appointment at 12:00 AM for 8:00 AM later that same day, the appointment was booked less than 24 hours before the appointment. Because the appointment was booked inside the 24-hour reminder window, the automatic reminder will not be sent.
Tip: If an appointment is booked within your reminder window, you can manually send a reminder from the Appointment Detail Card. Visit How Do I Manually Send a Reminder Text or Email?
Note: Inspire Plans include 2,500 one-way text messages. If you exceed 2,500 messages, an additional $50 charge will automatically be applied to your next bill cycle for an additional 2,500 one-way text messages. To view your text count; visit Reports > Text Count Report.
